Managing sales and rental items at a sports venue by service plan

Sales and rental item lists, stock and merchandise revenue kept separate from pitch fees, and what each service plan allows.

Beyond pitch fees, a venue earns from selling goods and renting items such as kit and shoes. Each transaction is small but they happen constantly, and when they are mixed in with pitch fees the owner cannot tell how much merchandise actually brings in.

This post describes how Sol26 Sport ERP is designed to manage sales and rental item lists, stock and separate merchandise revenue, along with the differences between service plans.

Two lists: goods for sale and items for rent

In the venue owner app, merchandise is split into a list of items for sale and a list of items for rent. The two behave differently: sold goods leave stock after the transaction, while rented items come back after the match.

Owners can add new items to both lists on the Free plan. The plans differ in stock quantities and in revenue and cost reporting.

Differences between service plans

Quantities of sales and rental items are designed to be updated on the Premium plan. The Free plan allows new items to be added but not quantities, and does not calculate revenue or costs.

  • Free plan: create sales and rental item lists, no quantity tracking, no revenue or cost reporting
  • Premium plan: create, view, edit and delete stock items, update quantities and report merchandise revenue separately
  • Basic plan: sits between Free and Premium, with merchandise features scoped to each venue's needs

A venue with only a few items can use the Free plan to show players what is available. Once the range grows and stock needs tracking, the owner will need the Premium plan.

Players pre-book rentals and purchases

In the player app, the venue services section lets players rent or buy kit and shoes in advance. The owner knows demand ahead of time and can prepare items, rather than finding out when players reach the counter.

Payment fees depend on the method. Paying through a payment gateway adds the gateway's percentage fee, while paying with coins from the in-app wallet carries no payment service charge.

Selling at the venue through the staff app

Venue staff use a separate app to sell goods available at the venue. This sales feature is designed to connect with the player app, so counter sales and pre-booked orders sit in the same system.

In the same app, staff see pitch status by booked and free slots. A staff member on shift can check the schedule and record sales without a separate notebook for each task.

What a merchandise report should show

On the Premium plan, merchandise revenue is calculated separately and not combined with pitch fees. The report includes charts and income and expense figures.

At system level, the operations team has a revenue analysis chart for merchandise, alongside a dedicated accounting table and system-wide statistics.

Common mistakes when managing venue merchandise

  • Combining merchandise and pitch income into one figure, so neither can be assessed on its own
  • Not separating rental items from goods for sale, which causes quantity mismatches when rentals are returned
  • Recording counter sales without matching them against players' pre-booked rentals and purchases
  • Adding new items without updating quantities, so the list shows items that are out of stock
