What to look for in training centre management software

Instructor guiding students in a classroom

Training centre software has to handle everyday operational situations correctly. This post gives a checklist of criteria and test scenarios to run before choosing.

Training centres moving from registers and spreadsheets to software usually start from specific needs: knowing how many sessions each student has attended, which class schedules have changed and who is in which time slot. Software with many features that cannot handle everyday situations is soon abandoned.

This post gives a checklist of criteria for centres to review before choosing software, focused on classes, time slots, sessions, attendance and student records.

A class and time slot model that matches reality

The first criterion is that the software can describe how the centre actually organises classes. If a class meets several times a week on different days, the software must allow several time slots on one class.

  • Create a class with one or more weekly time slots
  • Sessions generated automatically from time slots
  • A list of sessions visible for each class

Flexible session adjustments

Schedules always change. Check whether the software lets you change the date of each generated session, and whether this also works for past sessions.

Some software only lets you generate new sessions without setting their dates. The centre then has to work around it outside the system and data soon drifts from reality.

Per-session attendance and sessions attended

Attendance must be tied to each session and each student. From attendance data, the software must show sessions attended per student without manual consolidation.

  • Attendance taken on the session's existing student list
  • Sessions attended calculated from attendance data
  • Attendance of earlier sessions available for review

Students changing time slot

This scenario quickly exposes weaknesses in software. Test a specific case: a student attending two sessions a week wants to reduce to one.

The software passes when it can cancel one time slot for that student only, move the remaining sessions to the days of the remaining time slot and leave the class schedule unchanged.

Central student records

Each student should have a single record showing current classes and sessions attended. When a student changes time slot or class, staff update that record rather than creating a new one.

Test with scenarios before choosing

An effective way to evaluate is to prepare a list of test scenarios based on the centre's real situations, each with steps and an expected result. This lets you compare software against the same standard.

  1. 1Import the class list, time slots and initial students
  2. 2Create a class with two time slots and check sessions are generated on the right dates
  3. 3Change the date of an upcoming session and of a past session
  4. 4Take attendance for one session and check the student's sessions attended
  5. 5Cancel one time slot for one student and check the class schedule

Sol26 Edu is designed around these situations: classes and time slots, sessions generated from the schedule, per-session attendance, session date changes and students switching time slot without affecting the class.

Frequently asked questions

Which criterion should be checked first?
Start with the class and time slot model. If the software cannot describe how the centre organises classes, attendance and schedule change functions will also be hard to use correctly.
How can software be evaluated before deciding?
Prepare test scenarios from real situations, each with steps and an expected result, and run them on each candidate.
What kind of centre is Sol26 Edu suited to?
Sol26 Edu is designed for language and skills centres with many classes and time slots, and for sports and talent centres with session-based classes that need attendance.
What data needs to be prepared at the start?
The class list, time slots and initial student list. This is the setup step before running the centre session by session.
