Per-session attendance is the source data for how many sessions a student has attended. This post covers how to organise it and what to do when a session moves.

At language, skills and talent centres, classes are usually run session by session. The number of sessions a student has attended drives course progress, make-up sessions and how the centre answers when a student asks.

Why attendance must be tied to each session

Many centres take attendance in a paper register or a spreadsheet per class, one column per date. This works while the schedule is fixed, but errors appear when sessions are cancelled, moved or when students change class mid-course.

When each session is its own record, with a date, time slot, class and student list, attendance is simply a status for each student in that session. Sessions attended are then calculated from these records instead of being counted by hand.

Generate sessions from time slots before taking attendance

Per-session attendance is only accurate when the sessions already exist in the system. Instead of creating each session by hand, the centre sets up a class with one or more weekly time slots and the system generates sessions from that schedule.

For example, a class on Tuesday and Thursday evenings gets sessions generated on those two days every week. The instructor opens that day's session and marks attendance on the existing list without typing student names again.

A simple procedure repeated the same way in every class keeps data consistent across instructors and time slots.

When a session has to change date

If the system can only generate new sessions without letting you set their dates, the centre has to create extra sessions or keep notes elsewhere, and attendance data starts to drift.

The correct approach is to keep the generated session and change the date of that session. The number of sessions in the course stays the same, the student list stays the same and attendance is recorded against the right session.

Adjusting the date of a past session

Sometimes a centre only notices a discrepancy after the session has taken place, for example when a class actually met on a different day but the schedule still shows the old date. Date adjustment therefore needs to apply to all generated sessions, including those with dates in the past.

Mistakes that distort attendance data

  • Creating a new session instead of changing the date of the moved one, so the class has more sessions than in reality
  • Taking attendance at the end of the week from the instructor's memory
  • A student has changed time slot but still appears on the old session list
  • Each instructor keeps a separate spreadsheet with no single place to consolidate
